When is the right time to reach out?

For Wedding Weekend and Full-Service clients, the earlier the better — ideally before major decisions are made. Starting at the beginning means the venue, vendor team, budget, and design direction can all be shaped together, which produces a more cohesive celebration and a smoother process. If you’re already in the middle of planning and looking for support, Client-Designed Planning or Event Management may be the right fit. How does the OTW Blueprint™ work and what does it mean for our experience?

The OTW Blueprint™ is our proprietary five-phase planning framework, developed over more than a decade of producing high-production events in New York and across the country. It’s how we make sure nothing floats unanchored and no decision is made in isolation. Every celebration we lead moves through the Blueprint, from the first conversation through the final send-off. Depending on your service level, you’ll enter the framework at a different point — Wedding Weekend and Full-Service clients begin at Phase I and move through all five phases together. Client-Designed clients typically enter at Phase III or IV. Event Management clients join at Phase IV and V. The result in every case is the same: a planning process that feels steady, intentional, and calm.

How involved will we be during the planning process?

That depends on the service level you choose — and that’s by design. Wedding Weekend and Full-Service clients are deeply involved in shaping the vision, the design direction, and the key decisions that define their celebration. What they’re not involved in is the logistics, the vendor management, and the details that quietly hold everything together. That’s ours to carry. Clients who come in through Client-Designed or Event Management are involved in a more focused way, with a clear handoff point where we take the lead. Whatever your level, you’ll always know what’s happening and what’s coming next.

What does the planning process look like from our first conversation to wedding day?

It begins with a discovery call where we get to know you — how you host, what matters most, and how you want your celebration to feel. If we’re a good fit, we move forward with a contract and begin onboarding. From there, the process follows the OTW Blueprint™, which brings structure and clarity to every phase: aligning on vision and budget, building your vendor team, developing the design and guest experience, refining every detail in the final stretch, and leading execution on the day itself. You’ll always know where you are in the process and what’s coming next.

How do you build and manage the vendor team?

We curate vendor teams based on talent, collaboration, and alignment with the specific vision of each celebration. We’re not working from a fixed list — we’re building a team with intention, matching the right people to the right event. Once the team is in place, we manage all communication and coordination directly so our clients don’t become the middleman. Vendors know who to call. Decisions are made efficiently. And the people you’ve hired show up fully prepared to deliver.
